Before proceeding to the reasons that why to switch to an IP PBX let us understand that what IP PBX system is. Generally IP PBX is a private branch exchange (telephone switching system within an enterprise) that switches call between VOIP (voice over internet protocol) users on local line while allowing all users to share a certain number of external phone lines. The typical IP PBX can also switch calls between a VOIP users and traditional telephone users, or between two traditional telephone users in the same way than a conventional PBX does.

IP PBX system is generally a combination of SIP phones, an IP PBX server and optionally a VOIP gateway which is used to connect existing PSTN lines. The function of IP PBX server is similar to the proxy server. A SIP client whether it is soft phones or desk phones gets registered with IP PBX server and when the call is to be made then SIP clients asks for the IP PBX to establish a connection. Directory of all phone users and their corresponding SIP address is contained by IP PBX directory which is thus able to connect an internal call or route an external call via either VOIP gateway or VOIP service provider.

IP PBX is software which runs on the computer and has the ability to influence the advanced processing power of the computer and the user interface as well as windows features. Anyone proficient in networking and computers can install and maintain an IP PBX. As normally, a proprietary phone system often requires an installer trained on that particular system.

IP PBX is easy to manage due to web based configuration interface or GUI which allow easy to maintain and fine tune your phone system. The interface of proprietary phone system is difficult to use which are designed by phone technicians only.

In IP telephone systems IP hardware phones are directly connected to the standard network port which can be shared with adjacent computer. Software is installed directly on the PC. Phone wiring system is eliminated and the addition or movement of extension is much easier.

4.) Scalable:

The proprietary systems are easy to outgrow. Addition of phone lines or extensions requires expensive hardware system. Entirely new phone system is required in some of the cases. This is not the case with IP PBX. Large number of phones and lines are easily handled by a standard computer, the only thing that is to be done is to add more phones to the network.

Better service and productivity can be delivered with the IP PBX. Since, IP telephone system is computer based so phone functions can be integrated with business applications. For example, customer card of the caller is brought up automatically when the call is received by another person. Out bound calls are placed directly from outlook which removes the need of typing phone number by the user.
